Minimize response time to enquiries
When an agent, manager, broker or lawyer calls looking for information, digging up the paper trade file and locating the correct document can be time consuming. With digital filing, all your documents are a click of the mouse away. Documents can also be printed, faxed or e-mailed right from your desktop.

Enable shared access
In a multi-user environment, all authorized users can access all your trade documents instantly right from their desktop.

Disaster recovery/protection
Paper documents are susceptible to loss through damage or destruction by fire, flood, etc. Digital images are extremely easy to backup and copies may be stored offsite on tape or CD.

Regain office space
You are required to retain your trade files for seven years and they can take up a lot of space. With digital filing, you can scan and keep instantly available digital copies of the documents and store the original paper copies off-site in a storage facility.

In Ontario
If you have multiple branch offices or a separate accounting office the Ontario Real Estate and Business Brokers Act (REBBA) requires that all your original records must be stored at your main office, or some other location that the registrar (RECO) specifies you can use the digital filing feature to make the documents available at your branch offices.
